■ Acquires a practical knowledge of all aspects of Aon Hewitt's HR Consulting and Outsourcing services and technology
■ Becomes familiar with Aon Hewitt’s tools, databases, technology to produce various documents and reports that align with our corporate identity standards
■ Maintaining appointment schedules by planning and scheduling numerous meetings, conferences, teleconferences, and travel arrangments
■ Produces timely and accurate management information, reports. (i.e., information to help with forecasting and budgeting)
■ Possesses effective interpersonal and communication skills and the ability to interface with colleagues, vendors and clients, at all levels, both verbally (in person and on the telephone) and in writing (in email and other written correspondence)
■ Monitors,,maintains and distributes supplies of Marketing collateral, including promotional items
■ Processes vendor invoices using Peoplesoft financial system, ensuring invoices are paid promptly. Manages entire process to entering vendor, creating requisition, purchase order creation, submitting invoices to imaging, receiving items, and cheque request approvals.Experience with the Peoplesoft financial system is essential.
■ Assist in updating and maintaining a financial year-to-date record of marketing expenditures against budget
■ Maintains internal and external email distribution lists
■ Assist in planning and coordinate Aon Hewitt hosted events (outings, celebrations), seminars and webcasts across the country, with the assistance of other colleagues in the marketing/communication group. Assistance in creation and management of distribution and rsvp lists; confirmations; preparation of event supplies before hand, shipping and tracking; and other event tasks as required. May be required to be onsite at some events to setup, run and tear down, so flexibility in schedule is an asset.
■ Assistance with managing the Aon Hewitt booth and banner stand usage, including shipping and tracking
■ Acts as backup translation coordinator (vacation/illness coverage)
■ Salesforce (CRM) tool tasks including reports, client lookup, subscription updating etc. Experience an asset.
■ Prepares trip/expense reports. Help to manage and submit Amercian Express procurement allocation and reporting.
■ Providing general administrative support including mail distribution, faxing, copying, answering phones, and filing.
■ Creating and producing various complex documents including correspondence, presentations, and spreadsheets using advanced software features.
■ Managing and coordinating administrative projects independently with considerable discretion.
■ Possessing effective project management skills and the ability to follow through to completion of project
■ Possessing effective interpersonal and communication skills and the ability to interface with associates and clients at all levels, both orally and in writing
■ Providing assistance to research colleagues as required (posting documents to internal database, maintaining files and performing basic business information searches)
■ Understanding Aon Hewitt billing process to assist consultants and ensure billings are processed promptly, and any issues arising are resolved quickly (for example Best Employers Plaque invoices)
■ Supporting team members/pitches in to help others
■ Maintaining client files
■ Taking the initiative to manage client needs in the consultant's absence.
■ Proofreading documents, managing and organizing schedules, coordinating meetings, taking notes.
■ Managing projects to ensure profitable delivery.
■ Maintaining a high level of confidentiality when working with sensitive material or management issues
■ Demonstrating an understanding of the business goals of firm and our clients.
■ Continuing to develop professional skills in your specialty and apply those skills with excellence in clientsituations.

Education/ Certifications/ Work Experience Required
■ Minimum 3 years of relevant work experience
■ Advanced knowledge of Microsoft Office Suite (i.e., Word, Excel, PowerPoint)
■ High School diploma or equivalent
■ Typing accurate at 55 WPM
Technical Competencies/Skills Required
■ Advanced MicroSoft (Excel, PowerPoint, Word)
■ Business Phone Etiquette, Customer Service principles, Conference Call Coordination
■ Database maintenance, Editing, Event Planning, Filing
■ Language skills, including the rules of grammar, spelling, and punctuation
■ Lotus Notes / Microsoft Outlook
■ Preparing Expense Reports
■ WebEx, SalesForce, Peoplesoft 9.0
